If you have a head for numbers, we are looking for a Billing Specialist to join our team who will thrive when handling all details in the invoicing and billing process, and who is passionate about undertaking responsibilities that directly impact the company’s revenue line. The ideal candidate will have strong communication skills, be extremely detail-oriented with excellent time management skills, have a strong sense of urgency and be a team player who is a quick learner and readily able to assess and resolve problems as they arise. 

  • Generating accurate and timely invoices for all Hoffman York clients (includes both production billing and media billing)
  • Working in conjunction with media and account coordinators to maintain client consistency and open communication regarding billing process / status
  • Knowledge of client estimate and reconciliation invoicing process
  • Issuing draft reconciliation billing (and client backup if necessary) to internal account coordinators in a timely manner  
  • Monitoring cash-in-advance / pre-bill payments  
  • Processing credit memos, refunds and other billing adjustments  
  • Preparing weekly billing summary and dashboard reports 
  • Applying customer cash receipts
  • Performing month-end account reconciliations
  • Preparing monthly Client Profitability Analysis Reports
  • Proactively creating and finding solutions to daily challenges throughout the office

  • Minimum of 1-3 years billing experience with experience in service industry preferred
  • Experience in MS Office, including proficiency in Excel
  • Experience in billing and invoicing system and accounting ERPs, working knowledge of Nexelus and Great Plains is a plus 
  • Strong communication, problem solving and analytical skills
  • Passion to be a part of a team and the ability to work independently

  • Solution oriented work ethic  

  • Educational background in accounting or finance preferred
  • Ability to learn new technology, systems, and businesses processes
